Privacy statement

Clean Air Systems Limited ("we", "us") installs and services heat pumps and HVAC systems in Auckland. This statement explains what personal information we collect through this website, our phone lines and our advertising, why we collect it, and what you can do about it. We follow the New Zealand Privacy Act 2020.
The short version
- We collect the details you give us so we can call you back, quote and do the job.
- We use Google Analytics and Google Ads to see how people find and use this site.
- We do not sell your information, and we do not pass it to other companies for their own marketing.
- You can ask to see, correct or delete what we hold at any time.
Information you give us
When you send the quote form we collect your name, mobile number, suburb, the service you need and anything you type in the message box. If you phone, email or text us, we keep the details you share, such as your address, photos of the property and the times that suit you.
If we go on to quote or do work for you, we also keep the records a trades business needs: site address, the equipment installed, invoices, payment records, warranty details and the electrical Certificate of Compliance.
Giving us this information is your choice. Without a working phone number and a suburb we cannot call you back or prepare a quote.
Information collected automatically
Like most websites, this one records some technical information when you visit:
- Google Analytics 4, loaded through Google Tag Manager, records pages viewed, clicks on phone links, form submissions, your approximate location (city level), your device and browser, and how you arrived at the site.
- Google Ads sets a cookie when you arrive from one of our ads, so we can tell which ad and search term led to an enquiry.
- Our web host keeps standard server logs, including IP addresses, for security and troubleshooting. The IP address used to send a quote form is included with the enquiry to help us filter spam.
These tools use cookies and similar browser storage. Analytics reports show us totals and trends, not named individuals.
Information we receive from other sources
Some information about you reaches us from someone other than you:
- Google Ads and Google Analytics tell us which ad, search term or web page brought a visitor to the site, and whether that visit led to a form submission or a phone call.
- Other people, such as a landlord, property manager, builder or family member who asks us to quote for or work at your property, may give us your name, phone number and address so we can arrange access.
We use this information for the same purposes as the information you give us directly, described below.
Why we collect it
- To call you back, visit the property, prepare a quote and carry out the work.
- To send booking confirmations, invoices, warranty information and service reminders for equipment we installed.
- To meet our legal obligations, including electrical certification, tax and health and safety records.
- To measure which pages and ads lead to enquiries, so we can improve the site and spend our advertising budget sensibly.
- To keep the website secure and block spam.
To measure advertising, we may send Google a hashed (scrambled, one-way encoded) version of the phone number or email address you entered in the quote form. Google uses it only to match your enquiry to an ad click, and cannot read the original details from the hashed value.
We will not send you marketing messages unless you have asked for them, and you can tell us to stop at any time.
Who we share it with
We share personal information only with businesses that help us run ours, and only as far as they need it:
- Google (Tag Manager, Analytics, Ads and the Gmail inbox that receives enquiries).
- Resend, the email service that delivers quote form submissions to our inbox.
- Vercel, which hosts this website.
- Our technicians, subcontractors and suppliers, when they need your details to deliver, install or register a warranty for your equipment.
- Our digital marketing agency, which manages our website and advertising on our behalf.
- Regulators or authorities, where the law requires it.
Information held overseas
Some of these providers store and process information outside New Zealand, mainly in the United States. We use established providers that are bound by their own privacy and security commitments, and we take reasonable steps to make sure your information is protected to a standard comparable to the New Zealand Privacy Act.
How long we keep it and how we protect it
We keep enquiry details for as long as we need them to respond and quote. Customer and job records are kept for as long as the law and equipment warranties require. When information is no longer needed we delete it or remove the details that identify you.
Access to enquiries and customer records is limited to the people who need them, and the accounts that hold them are password protected. This website is served over an encrypted (HTTPS) connection. No system is perfectly secure, and if a privacy breach is likely to cause you serious harm we will tell you and the Privacy Commissioner.
Cookies and your choices
You can block or delete cookies in your browser settings, and the site and quote form will still work. You can also:
- install the Google Analytics opt-out add-on to stop Analytics recording your visits;
- manage the ads Google shows you at My Ad Center;
- call us on 028 411 1850 instead of using the form if you would rather not submit details online.
Seeing and correcting your information
You have the right to ask for a copy of the personal information we hold about you and to ask us to correct it. You can also ask us to delete it, and we will do so unless we are legally required to keep it. We will respond within 20 working days.
